Assessing an organic supplier

Practical guidance for operating records and inspection readiness.

Identity

Compare names on offers, certificates and invoices. Producers, traders and warehouses can be separate entities; producer status does not automatically establish trader status.

Scope and validity

Use the appropriate source to check validity, categories and activities. Logos are insufficient. Retain verification results and resolve uncertainties.

Shipment checks

Compare actual products, lot IDs, labels and records. A current certificate does not replace consignment checks or justify release of unexplained discrepancies.

Supplier register

Record products, verification source, dates, responsibility and approval conditions. Changed scope or adverse information requires reassessment.

Missing evidence

Distinguish safety from organic-status decisions. Hold the lot where appropriate and preserve records. Unsupported declarations are not a substitute for evidence.
